Our company is seeking a part-time (possibly full-time) Bookkeeping and Operations Assistant to work closely with our Business Director.
We are looking for a dynamic and responsible individual with excellent communication skills, a keen attention to detail, and the ability to multi-task.
Job Responsibilities:
* Create and communicate monthly billing to clients, time billing invoices, client proposals, vendor purchase orders
* Transact vendor payments and office expense payments, first point of contact for AR/AP
* Assist in reconciling bank accounts & credit cards, research reconciliation discrepancies
* Working with Business Director and accountant to file yearly taxes
* Prepare weekly and monthy reporting for review by Business Director and Principal
* Place orders and track them through to final delivery.
Record pertinent information in Studio Designer.
Liaise with receiving warehouses to ensure inventory reports are up to date and accurate.
* Research reconciliation discrepancies
* Manage Office, Principal and PR calendars
* Organize daily office operations and procedures: maintaining physical and digital filing systems, inventory of office supplies, etc.
* Coordinate team events
* Ad Hoc tasks
Requirements:
* Bookkeeping Experience, with ability to learn
* Studio Designer experience a plus
* MS Office Suite including experience with Excel
* Highly detail-oriented with strong organizational skills
* Excellent written and verbal communication
* Positive and proactive attitude, a willingness to help and wear many hats
