Breads Bakery is seeking a Billing Administrator to join our team.
The Billing Administrator is responsible for sorting, uploading and record keeping of invoices, supporting relevant teams with accounts payable and receivable, communicating with vendors and clients when necessary as it pertains to AP/AR, and end of month statement verification and closings.
The role requires above average organization skills, a keen eye for detail and familiarity with financial systems and processes.
Responsibilities & Expectations:
Upload, organize and maintain records of invoices for all Breads Bakery locations.
Manage vendor communication relating to invoices, credit memos and related items in collaboration with the Purchasing Manager and Director of Purchasing.
Maintain, refine, and grow the invoice SOPs and operating systems in collaboration with the Purchasing Manager and Director of Purchasing.
Explore new outlets and applications as requested to ensure the organization utilizes efficient and effective systems and tools relevant to our scope and scale of business operations.
Reconcile client accounts, produce and send invoices for clients, monitor and record accounts receivable and collaborate with management as needed to ensure any outstanding balances are addressed in a timely manner.
Monitor all third party software and transactions to ensure accurate data is interfaced with general ledger, EOM statements and invoices.
Collaborate with all department and bakery locations leaders to ensure proper processes are maintained - recognizing the dynamic nature of our business and working with the Director of Purchasing to adapt inventory and related SOPs as needed.
Perform daily administrative tasks including but not limited to invoice review, vendor and client communication, statement verification, inventory, data entry, and so on.
Skills & Requirements:
Purchasing and financial experience, preferred but not required
F&B and/or hospitality experience, required
Proficient in Excel, Google Suite, and related applications- this role requires above average technological literacy
Exceptional aptitude for problem solving- ease in dissecting ambiguous situations and providing thoughtful recommendations on next steps
Ability to work cross-functionally in a fast-paced, dynamic environment
Strategic thinker with strong business acumen
Remarkable communication and interpersonal skills, strong quantitative and analytical dexterity, and ability to multitask
Compensation & Benefits:
Part Time, 16-20 hours/week on average with the potential for growth both with consideration to hours/week and scope of role
