Under the guidance of and reporting to the Manager, Student Accounts, the Sponsored-Billing Specialist is responsible for maintaining the integrity of the student accounts receivable system through reporting, analyzing, and collection of accounts.
The Sponsored-Billing Specialist assists third-party sponsored students in getting necessary information for billing purposes and follow-up on unpaid bills.
Under general supervision, all Student Accounts staff facilitate the enrollment and retention of Pace University students by providing cross-functional service to prospective, current, and former students, as well as their parents and other University constituents through direct services in the area of Student Accounts Office responsibilities, and supportive services in the area of financial aid awarding and packaging.
Position Duties Works closely with students, several internal offices, and outside agencies for monthly invoicing and the collection process.
Performs outreach to sponsored students with respect to bill payment and retention.
Oversees Outside Scholarships processes.
Prepares weekly reports on third-party accounts receivables.
Maintains supporting documents for third-party invoicing.
Answer questions in person, on the phone, by email, or in written correspondence; resolve problems and address concerns and issues from students, parents, faculty, and other third parties in the following areas: billing & payment, immunization compliance requirements, and financial aid.
Use investigation, professional judgment, and individual discretion, as appropriate.
Follow through on issues until resolved, providing necessary correspondence and contact with students or third parties; contact academic advisors, colleges, or other university departments to clarify situations, as necessary; intercede and/or advocate on the student’s behalf.
Resolve problems or concerns on student account billing statements and financial transactions; answer questions and explain debits and credits, tuition and fee assessments, credit loads and impact on tuition, and refund/credit balances transactions.
Analyze account history and status for late registrations and retroactive registrations.
Review and process immunization documents in accordance with established procedures; answer queries from students and university departments regarding immunization compliance.
Participate in various outreach functions.
Actively participate in meetings, training, and other professional development opportunities, as assigned.
Perform other such duties as may be assigned from time to time.
Position Qualifications Bachelor’s Degree along with at least one year of experience in customer service related field with ability to react to customers quickly, accurately and congenially required.
Basic knowledge of general accounting practices.
Ability to work independently as well as in a team environment to meet individual and departmental performance objectives.
Proven ability to work effectively as a team member.
Excellent oral and written communications skills.
Ability to write clear, concise letters using effectual writing skills.
Sensitive to cultural diversity and ability to communicate and interact effectively with people of all ages and diverse backgrounds.
Ability to analyze and interpret data along with making independent decisions; responsible for decisions.
Must be able to attend professional development functions.
Highly motivated, focused and results oriented.
Ability to meet expectations in a fast-paced and dynamic, customer-oriented environment.
Experience in applying complex regulations such as FERPA.
Working knowledge of spreadsheets (MS Excel), word processing (MS Word), email and calendar management (MS Outlook) and student information systems (Banner).
Work Hours Monday – Friday: 9:00 a.
m.
– 5:00 p.
m.
; weekends or additional hours as needed during peak/high volume periods.
